Please note: buttons and on-screen menu choices are in bold;
keyboard function keys are bracketed by greater than/less than signs (< >); words to
be typed in to the screen are in italics. "Click" denotes mouse use;
"hit" denotes keystrokes.
To access WorkFlows, use the shortcut to WorkFlows icon provided on
your desktop. Moving the icon or accessing WorkFlows in any other way may bypass future
updates to the software.
When you first login to WorkFlows, the initial screen will be a configuration window. To configure:
Enter your login and your PIN (which is the same as your EUCLID
password). Enter the login in lower case and the PIN in upper case. Until further notice,
use the login and password youve been using in InfoView or Euclid TY.
As in most Windows applications, WorkFlows makes use of a menu bar
across the top of the screen. Clicking on these words will display dropdown menus. Every
one of these choices will not be explained in this document, but those necessary to do
your work are covered. Two important choices are Edit and Setting. Edit
accesses standard Windows Cut, Copy and Paste editing options. Setting allows you
to select Edit or Insert mode for entering data.
WorkFlows has command icons arranged on toolbars. On initial login, the default toolbar is minimized, with only a ? (help) icon. In order to select the best toolbar for the tasks you perform you must configure the toolbar as follows:
- From the WorkFlows Preference menu, choose Desktop, choose Toolbar, and then choose Modify. The Modify Toolbar window will appear.
- Click the Add button. The Add Wizard to Toolbar window will appear.
- Scroll to the function in the menu you wish to add as icon. Click it, then click the OK button. The Select Function Key window will appear with NONE as the menu default; this is for modifying the function keys on the keyboard. Click the OK button and this window will disappear. Repeat for each icon you want to add.
- When you're finished choosing functions lick OK in the Modify Toolbar window. The lightning bolt icon will appear at the far left of your toolbar. To save this configuration, return to the Preference menu, choose Toolbar, choose Desktop, choose Toolbar, and choose Save as. Click OK to save without renaming or rename if you wish.
The toolbar displays icons (picture buttons)
only. Pointing to an icon with the mouse will open a help balloon that describes its
function.
The toolbar icon with a red house on it, called Home, opens
the public access choices for searching the Euclid database The search result windows have
a helper bar at the top with navigation and options buttons. Choices vary, but include the
familiar Goback, Forward, Backward, Qualify, Jump To, View,
and Clear commands. New with WorkFlows are the Restore and Erase
commands. Experiment to see how these work. Remember that Restore cannot undo
changes after youve saved them.
Staff functions such as Display1 Item, Edit Item, etc. may be performed using the icons on the toolbar. The icons are self-explanatory: just point the cursor at an icon and a help balloon will appear explaining its function. In addition to the toolbar, most of the function keys on your keyboard still work. Exceptions:
- <F12>, formerly assigned to the inoperative "Mail" function, now has the "Course" function in Circulations Reserve module.
- The <Print Screen> button does not print in WorkFlows; see the "Printing in WorkFlows" section below for printing procedures.
You may also access the staff functions through the Commands menu on the top menu bar. Select either Objects or Verbs depending on whether you prefer your commands in object-verb form ("Authority Browse") or verb-object form ("Browse Authority"). Either choice will perform the same function.
A basic difference between InfoView and WorkFlows is that each staff function command (Display Item, Edit Item, etc.) creates a new window, whether you use the function keys or the icons. The windows will stack up as you work; you can toggle back and forth between them by clicking on the title bar of each window. All successive windows will need to be closed at the end of each completed task by clicking the x at the upper right hand corner.
The staff function windows each have a helper bar at the top with navigation and editing options. Choices vary, but include Before, After, Delete, Edit, Restore, and Erase.
Display1 Item and Display2 Item have an Item
Options button on the helper bar so that after looking at the bibliographic record,
you can go back to change the viewing options.
In WorkFlows you may import records with the SmartPort utility
or by the previous EUCLID method of downloading/importing using floppy disks. For
SmartPort instructions, see Using SmartPort with
WorkFlows. To import records via floppy disks, use the import utility, which can be
accessed from the Utilities menu on the top menu bar. Choose Import Export
and work through the familiar text commands.
There are two ways to print from WorkFlows. You may print by
clicking File, then Print, on the top menu bar, and then clicking Print
Screen from the Printing Choices window. This will only print results of public
access commands. To print results of staff commands (Display1 Item, etc.), click the
printer icon in the toolbar, which will open Wordpad. You can print the whole record by
clicking on the printer icon within Wordpad. You can print part of the record by
highlighting and deleting what you don't want to print (highlight and press
<Delete>) and then clicking the printer icon to print what remains. Close each print
window before printing another record.
If you need help with WorkFlows, check with members of the DQM/Tech or Documentation and Training groups. You may also send queries to the EUCLID-L list at euclid-l@listserv.cc.emory.edu. When sending queries to EUCLID-L you must include the version of EUCLID you are using; to determine your version, click Help in the menu bar, then click About to see the copyright screen which names the version youre running.
