  1. Who should I contact to report EUCLID errors or other database maintenance questions?

1. Who should I contact to report EUCLID errors or other database maintenance questions?

Send inquiries about EUCLID data to DQM at DQM-l@listserv.cc.emory.edu. You should receive a response from someone in the DQM group within 48 hours as to the status of your report.

2. Why does the same record show up twice in EUCLID?

There are two common situations that can cause it:

If neither of these explanations appears to fit your situation, please send a query to DQM-l.

3. "I know the record is in EUCLID, and I can call it up by barcode or control number, but when I search for it, it doesn't appear in the search results. Why?"

There are a number of possibilities that could cause this:

a.  Are you doing a browse search?  If so, try searching another way using the keyword indexes (Word or Phrase, Author, Title, Combined Search, etc.).

If the record has recently been added to the database, access points (such as title and author) won't show up in browse indexes until after a reindexing report runs (midday and early evening).  However, right after new records are added they are indexed in the "immediate index" which is searchable with a keyword search.

If the title is shadowed (all items are shadowed or shadow locations, or title is marked shadow=yes by a cataloger), access points aren't indexed in browse indexes, but are findable with keyword searches if your search option is SHADOW=BOTH (the default for staff).

b. Is the title fully cataloged or "In-process"?  If you want to include records that are not yet cataloged in your results, and the title you are looking for contains an "initial artice" (a, an, the, and their equivalents in languages other than English), a browse title search may miss the record.  This is because records input for orders or imported "raw" from a bibliographic utility may not have been coded properly to skip the initial article.

Again, you can avoid this possibility by doing some type of keyword search instead of a browse.  The keyword searches ignore most articles as stopwords.

4. Where should books selected for withdrawal be placed?

Place items to be withdrawn on the shelf marked "WITHDRAWN" on the metal shelving behind Laura A.'s workstation.

5. Where should books that seem to need corrections in EUCLID (such as adding an item record, correcting a call number on a volume, etc.) be placed?

If you have the item(s) in hand, you can place the materials on the DQM ON-THE-FLY AND OTHER CATALOGING PROBLEMS shelf on the metal shelving behind Laura A.'s workstation. If you don't have the volumes but can identify the problem, please send a report to DQM-l.

6. "I have shortcut icons for some of the applications I use a lot in a handy folder on my desktop called "Internet". But when I try to add shortcuts for some of my newer applications, like Catalogers Desktop, NT won't let me.  Why?"

7. "Some people have an Internet folder but I don't.  How can I get one?"

The Internet folder is part of the generic "All Users" profile, which is part of our standard NT configuration, and is therefore something only systems administrators can make changes to.

Here are some instructions for making your own desktop folder with shortcuts to anything and everything useful for you:

a.  Go to your desktop.  Pointing to a blank spot on the desktop, using your RIGHT mouse button (or left if you've got it set for southpaws), click/hold down and drag the mouse pointer diagonally to create a box. Let go the mouse and you'll get a dialog box.  Click on "New", then click on "Folder".

b. You should now have an icon for the new folder on your desktop, waiting for you to type in a name. Provide the name you want the folder to have.

c.  Double-click the folder to open it.  Also open the Internet folder. Copy any shortcuts you use regularly from the Internet folder to the new special folder:

Then copy any shortcuts you like from your desktop to your special folder.

d.  If there are applications you use that don't have shortcuts you can copy, you can make a shortcut to the ".exe" file that opens the application. Sometimes you can use "My Computer" or "Windows NT Explorer" to locate the file, but it may get tricky with certain applications like Catalogers' Desktop that involve variable or scripts (ask a Tech Task Group member or Systems staff for advice).

The easy way: if there's a menu item for the application in your Start menu (Start/Programs) you already have a shortcut you can easily copy. One method--explore either:

D:\WINNT\Profiles\All Users\Start Menu
or
D:\WINNT\Profiles\Default User\Start Menu

Find the shortcut icon for the application you want (LearnLink, for example, can be found in D:\WINNT\Profiles\All Users\StartMenu\Programs\Emory Eagle Services).

Click on the icon with RIGHT mouse button (but don't drag  - just a single click).

From the pop-up menu, choose Copy.

Then go to your special folder, click inside it with the RIGHT mouse button (no dragging) and choose Paste.  A copy of the shortcut will be pasted in.  You can then Click/Hold and drag the icon with the LEFT mouse button to wherever you want it.

e.  Finally, you can size the folder any size you like by positioning your mouse on the edges or corners and dragging.  And you can arrange icons any way you like in the folder, or use "View" on the folder menu, then choose "Arrange icons" or "Line up icons".
